Because we negotiate room blocks and day-delegate rates directly, corporate clients consistently get better terms than booking piecemeal.
Delegate logistics, handled end to end
One team manages the full delegate journey: airport meet-and-greet, ground transport fleets, accommodation allocation, per-diem management, on-site registration desks and 24/7 WhatsApp support in English and Kiswahili. For international delegations we advise on eTA requirements, insurance and health protocols so nobody is stuck at the border on day one.
Team building & post-conference experiences
The reason companies bring their events to Kenya is what happens after the sessions end. - We manage everything from 10-person executive retreats to conferences of over 1,000 delegates. For large conventions we combine venue sourcing, hotel room blocks across several properties, delegate registration and a ground-transport fleet under one production team, so you deal with a single point of contact.
- Which Kenyan destinations work best for incentive trips?
- The Maasai Mara is the classic flagship — especially July to October during the Great Migration. Diani and the North Coast suit beach-based incentives year-round, Naivasha and Nakuru work well for short retreats within two hours of Nairobi, and Amboseli delivers the Kilimanjaro backdrop for once-in-a-career reward trips.
- Can you organise a conference and a safari in the same trip?
- Yes — it is our most requested format. A typical programme runs two to three conference days in Nairobi or Mombasa followed by a one- to three-night safari extension. We stagger departures so delegates can opt in or out of the extension, and we price the safari leg per person so budgeting stays clean.
- How far in advance should we book a MICE event in Kenya?
- For conferences over 200 delegates or peak-season incentives (July–October and December), start six to twelve months out to secure venues and room blocks at good rates. Smaller meetings and retreats can usually be arranged within four to six weeks. Send us your brief and we will confirm feasibility within two working days.
- Do you handle visas, eTA and travel documentation for international delegates?
- We guide every delegation through Kenya's electronic Travel Authorisation (eTA) process, provide invitation letters where needed, and advise on health requirements such as yellow-fever certificates for delegates routing through endemic countries. Our airport team then meets delegates on arrival.
- How is pricing structured for MICE programmes?
- After a short brief we send an itemised proposal: venue and day-delegate rates, accommodation per room-night, transport, activities and a clear management fee. You approve the budget before we contract anything, and we track spend against it throughout — no surprise line items after the event.
